  1. Welcome guests

    An entrance feature or photo wall creates a place to pause before guests find their tables. Leave time for people to greet colleagues before the MC opens the evening.

  2. Dine and catch up

    Meal service and speeches share the run sheet. The room can settle after plates are cleared, giving speakers a quieter moment and guests a chance to listen.

  3. Celebrate the recipients

    A presentation list, pronunciation notes and a route to the stage help each award run smoothly. Lighting should show faces; the screen needs to be visible from the back tables.

  4. Open the evening out

    After the formal segment, make time for conversation or a hosted activity in a separate area. A closing thank-you brings everyone back together before departures.

The stage and the tables share the room.

A branded backdrop frames the presentation while table styling brings the theme closer to guests. Company colours can run through lighting, centrepieces and an arrival display. For a Gatsby or Hollywood evening, a few larger features give the room its character.

The floor plan keeps routes to the stage and exits open. Centrepieces need to sit out of guests’ sightlines, and microphones must reach both the main speaker and anyone joining them. Existing venue staging, screens and sound equipment are the starting point for the production plan.

Preparing the evening

Bring these to the planning conversation.

  • The number of guests and award categories, plus the likely length of each presentation.
  • Your venue’s stage, screen and sound facilities, with time available for rehearsal.
  • The MC and speakers, approved names, slides, logos and scripts.
  • Meal service times, access needs and any entertainment you want after the awards.

Your team supplies and approves the award content. We build the cues and room arrangements around it, working with your chosen MC. Content deadlines leave time to check slides and rehearse the sequence.
