This Privacy Statement explains how Meet Meeple collects, holds and uses personal information in connection with meetmeeple.club, event enquiries and the planning of our services. Meet Meeple is the business holding enquiry information for these purposes. We apply the New Zealand Privacy Act 2020 and its Information Privacy Principles.

Information you give us
The event enquiry form asks for your name, email address, event type and message. These fields are required to submit that form so we can understand and answer the enquiry. Company, phone number, preferred date, event location, guest count and estimated budget are optional. You may contact us by email or phone instead.
Further planning correspondence may include the event brief, venue and supplier contacts, approved artwork, programme details and information needed to administer a confirmed booking. Please give us accurate information and only provide another person’s details when you are entitled to do so. Do not send payment card details or unnecessary identity, health or other sensitive records through the form.
If an organiser provides information about someone else, we limit collection to what is necessary for the event purpose. Where Information Privacy Principle 3A applies, we take reasonable steps to ensure that person is aware of the collection, its purpose, intended recipients, the collecting and holding agency and their access and correction rights, unless a lawful exception applies. We may ask the organiser to help deliver that notice; this does not remove our obligations.
Why we use the information
We use enquiry details to respond, assess whether the requested event is feasible, prepare a proposal and communicate about your preferences. If you book, we use relevant information to plan and deliver the agreed service, coordinate suppliers, administer payments and records, address concerns and meet legal obligations.
We do not use a general event enquiry as permission to subscribe you to promotional messages. Any future marketing list would require an appropriate, separate basis for sending commercial messages, accurate sender identification and a working unsubscribe method under the Unsolicited Electronic Messages Act 2007. Event and booking correspondence may still be needed to provide the service you requested.
Website and form information
The site loads its fonts, styles, scripts and images from this domain. No analytics, advertising pixels, third-party embedded maps or social-media widgets are active. Following an external link takes you to a separate website with its own privacy practices.
The form uses an essential session cookie, called mm_session, to connect a browser with server-side security information. The session holds an anti-forgery token and recent submission attempt times. If a submission fails, it can temporarily hold the entered fields and an error message so you do not have to re-enter them. Those fields are removed from the session when the form is shown again; session records are otherwise subject to the hosting environment’s session housekeeping.
Your privacy choices are stored in your browser under mm_privacy_v1, with the category choices, a preference version and the date saved. This record stays until you change it, clear site storage or your browser removes it. It is not an analytics identifier. The Cookie & Tracking Notice explains the controls.
Web and email infrastructure may process connection and diagnostic information, such as an IP address, request time, requested page, browser information and delivery logs, to operate and protect the service. The enquiry handler does not add an IP address or browser fingerprint to the enquiry email. Operational logs are not used by this site for advertising profiles.
Who receives information
Relevant Meet Meeple personnel use enquiry and booking information. Hosting and email service providers process information needed to operate the website, handle form submissions and deliver correspondence on our behalf. An accepted form submission is sent to [email protected] through the website host’s mail service; the website does not maintain a separate enquiry database.
For a confirmed event, we share the minimum necessary planning details with a venue, facilitator or other supplier involved in the agreed scope. This could include an organiser’s contact details, access requirements or an approved running order. We identify relevant arrangements during planning. We do not sell enquiry information or disclose a guest list for another business’s marketing.
We may disclose information where you authorise it, where necessary for the purpose for which it was collected, or where permitted or required by law. We distinguish service providers acting on our behalf from organisations receiving information for their own purposes.
Processing outside New Zealand
Website or email processing can involve infrastructure outside New Zealand depending on the service arrangements. We assess those arrangements and the safeguards appropriate to the information. If a proposed disclosure to an overseas recipient falls under Information Privacy Principle 12, we ensure a lawful basis, such as comparable privacy safeguards or an appropriate agreement. If relying on individual authorisation in circumstances where comparable protection may not apply, we explain that issue before seeking authorisation.
The owner details below are supplied for business transparency. They do not by themselves identify a hosting location or establish that the owner receives website enquiries. Ownership alone is not treated as a reason to transfer personal information overseas.
Security and retention

We retain enquiry information while needed to respond and follow up, and booking records while needed to perform the contract, handle legitimate questions or claims, and meet record-keeping obligations. We review whether information is still required and securely delete or de-identify it when those purposes no longer apply. Retention depends on the nature of the record and applicable obligations rather than one fixed period for every enquiry.
If we reasonably believe a privacy breach has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by the Privacy Act 2020, subject to any applicable exceptions. We will also take steps to contain the breach and reduce its effects.
Access, correction and complaints
You may ask to access personal information we hold about you and request a correction. Email [email protected] with enough detail to help us locate the relevant records. We may need to verify your identity or authority before disclosing information. We respond within the time required by the Privacy Act and explain any lawful reason for withholding information or declining a correction. If a correction is not made, you may ask for a statement of the correction sought to be attached to the information.
Please contact us first if you have a concern about how your information has been handled, so we can investigate and respond. You can also seek guidance or make a complaint to the Office of the Privacy Commissioner. This statement does not limit your rights under the Act.

No such services are currently connected, so allowing a category does not itself begin tracking.
